A regular meeting of the Board was held on Friday, May 22, 2020. Attending the meeting by teleconference, in compliance with the Delaware State of Emergency, were: President Bruce Wilson, Secretary Debbie Director, Treasurer Helen Hoart, Vice President Louisa Hollman and Assistant Secretary Evan Thalenberg. Also joining the meeting were Community Executive, James Allen, and Beach Club Manager, Maureen Brown.

The first item on the agenda was a review of the Annual Meeting preparations.  President Wilson advised the Board on the logistics of the green room that would be used by the Board and staff for the meeting.  Copies of the Annual Meeting Agenda were circulated prior to the meeting, with notations to guide the teleconference operators that included question and answer opportunities from homeowners and identifies voting questions. Mr. Wilson’s remarks for the Annual Meeting were also circulated prior to the meeting.  The Board reviewed and discussed the presentation planned for the North Shores homeowners. President Wilson advised Board members of their areas of responsibility to field homeowner questions at the morning meeting. Secretary Director advised the Board on the proxy count received to date, assuring a quorum in combination with the homeowners attending the meeting.

Beach Club Manager, Maureen Brown, previewed her planned presentation for the Annual Meeting to the Board. The beach operation for the 2020 season included many changes from previous seasons in an effort to follow  social distancing and disinfection guidelines from Delaware and federal authorities.  Umbrella set-up would be changed for the 2020 season and not include chairs this year.  Staff members will be stationed at each crossover to assist homeowners with umbrella set-up on an as-needed basis. Umbrellas will comply or exceed social distancing requirements. Mules will not be used to transport homeowners with mobility difficulties in compliance with State of Delaware executive orders regarding golf cart usage.

The Board reviewed plans for managing and operating other community amenities for the summer season.  President Wilson advised the Board on the recommendations from outside counsel regarding operational, legal and insurance issues. After discussion, the Board concluded that the opening of the community pool will be delayed to comply with State of Delaware executive orders.

Postponement of the annual cocktail party was made earlier in the year.  Scheduled food truck dates are being monitored for compliance with State of Delaware emergency requirements.

There were no further questions or comments in preparation for the Annual Meeting.
